The reasons why we use your personal data
This privacy notice applies to the functions of the Greener Futures Team within the Environment Service relating to the processing of personal data in order to conduct non-domestic energy assessments (NDEA).
What processing of personal data is undertaken by the team?
Personal data will be used solely for the purposes of determining eligibility for a NDEA and for determining the location for any in-person assessment locations.
Contact details will only be used for the purpose of contacting recipients relating to NDEA.
What information do we collect?
- Name
- Address and Postcode
- Email address
- Telephone number
- Landlord's contact details
- Tenure
- Building archetype
- Building Information, for example, gas central heating, wall fabrics, build date, lighting types
- Energy Performance Certificate (EPC) rating
- Conservation area status
- Motivation for engaging with service
- Photographic evidence of building, systems
- Occupancy settings
- Organisation registration documents and reference numbers such as listed charity number
How we are allowed to use your personal data
To process your personal data, we will explain to you what we are asking you to agree to and why. If we have consent to use your personal data, you have the right to remove it at any time. If you want to remove your consent, please contact us at the following email address greenerfutures@surreycc.gov.uk and we will deal with your request.
Who we share your personal data with
We share data with Central Government via the Energy Performance of Building Register if an EPC lodged.
Data will be shared with the assessor's accreditation scheme, Elmhurst Energy.
Data used for the simulation is shared with Design Builders.
We may wish to share case studies of good practice across the county. We will contact you to seek approval to share your content to the site. Your organisations name and address may be shared on the published online content unless you request otherwise, or a pseudonym is provided.
Retention of data
Data will be retained for a maximum of 10 years in the case of an EPC lodgement.

We welcome any photos or videos you may wish to include but please be mindful not to include any personal identifiable information.
